We currently have an full-time open position for an Administrative Account Specialist with our Sales/Customer Service Team.

JOB SUMMARY

This position is responsible for the day-to-day service and support of customers, data management, and coordination. Acts as a liaison for internal and external customers while establishing credibility through a proactive, collaborative, and efficient approach to all affected parties.

DUTIES & RESPONSIBILITIES

  • Responds to and resolves customer service inquiries and questions.
  • Performs quotes, sales and purchase order entry on daily-basis based on customer needs.
  • Data entry of purchase orders for warehouse inventory stock
  • Maintenance and entry of certain invoices into customer portal software
  • Enters goods into inventory and validates physical count from receiving records.
  • Enters invoices into system for accounts payable.
  • Retrieves information as requested from records, email, and other related documents; communicates responses when needed.
  • Answers and transfers phone calls; at times screens calls.
  • Processes incoming mail.
  • Compiles and prepares invoicing, checks, and other necessary documents for mailing.
  • Maintains filing systems as assigned; ensures they are available for future reference.
  • Welcomes and directs visitors and clients as needed.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Provides outstanding service to all customers; fosters teamwork; and practices fiscal responsibility through improvement and innovation.
  • Assists in inventory management and communication of inventory needs to the warehouse.
  • May assist in training other employees in the department.
  • Performs special projects when assigned.

REQUIRED SKILLS & ABILITIES:

  • Proficiency with database/ERP and office software systems required.
  • Must be able to perform tasks and projects with independence and problem-solving skills.
  • Operates well when having to perform multiple tasks at the same period of time.
  • Excellent interpersonal and customer service skills.
  • Excellent verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Excellent organizational skills and attention to detail.

EDUCATION & EXPERIENCE

  • Associate’s degree preferred. A combination of formal education, training, and experience may be considered.
  • Minimum two (2) years’ experience in a sales/customer service administrative support role.

Pay: $35,000.00 - $45,000.00 per year
